New and Important Information for 2024

Below you will also find a summary of key changes that will impact you as an Exhibitor but please make sure to read the complete manual for full details. The manual provides both recommendations and mandatory rules. 

  • Exhibition Timetable – Provides information of the build up, show open and breakdown dates and times.
  • Badges & Passes    
    •  ILTM Asia Pacific 2024 is pre-registration only. All attendees need to pre-register online prior to arrival and download their badges from the exhibitor portal.
    • All stand personnel required on the stand during the event days, including stand-by contractors, catering and hostess staff must be allocated a badge through the exhibitor portal and will come out of the exhibitor badge allocation.
    • All contractors are now required to register their details and acknowledge the site rules prior to being issued a contractor pass onsite. Each individual contractor will need to register themselves using our registration system (see main section below).
    •  Any foreign works who wish to provide contractor services at ILTM Asia Pacific including booth set up, maintenance and/ or the dismantling of the exhibition site or booths must have a valid work permit and/or necessary exemption must be applied through the Ministry of Manpower website. Exhibitors who wish to build their own booth also fall under this category. Application of I-submit must be made 14 working days before arrival to Singapore.  You are advised to check the Ministry of Manpower website for information & updates to this regulation.
  • Sustainability - Our new Exhibitor Environmental Checklist is now available and has useful tips to lower your environmental footprint whilst you are exhibiting with us. 
  • Shell Scheme, Pavilions & Package Stands
  • Space Only & Stand Build Submissions - Space only stand plan deadline is on 11 May 2024. For full details, click here.
  • Stand Build Regulations 
    • Maximum build permitted is 4m but any stand over 3.9m must be signed off and stamped by a Singapore based Professional Engineer, recommended PE’s can be found here PEB - Directory of PE (cost to exhibitor).
    • Double Decker stands are not permitted.
    • Rigging is not permitted.
    • No more than 50% of an open side must be solid walling.
    • Major painting of displays and exhibition materials are not permitted at MBS.
    • Any ceilings on stands require every 9sqm to have automatic fire extinguishing system.
    • The space only stand plan deadline is on 11 May 2024.

  • Smartspace - Contact our in-house stand build team, who are able to provide their expert advice and guidance on making the most of your exhibition stand.
  • Your Tasks & Order Deadlines - A list of all the order forms and deadlines dates to help you complete these in a timely manner. 
  • Logistics, Lifting & Delivery 
    • Consider methods to reduce frequency of deliveries.
    • It is essential that all material and freight is kept within the build area and not in the aisles/foyers etc. Build materials/furniture/AV and freight may need to be scheduled for different arrival times to avoid crowding.
    • A vehicle entry permit / pass is required for all vehicles accessing the venue. To register for a vehicle permit and to find out more information, more details here.
  • Health & Safety - All exhibitors are responsible for having H&S Documentation in place. H&S Documentation should include, but is not limited to:
    • The Stand Information Form
    • A detailed risk assessment for show open, identifying any risks with working onsite and what control measures are put in place to protect both your workers and others. This does not need to be submitted but must be available if requested.
    • A risk assessment for build and breakdown (only required from space only stands, or shell scheme stands who are building within their stand).
    • Any other documents you, or your contractors deem necessary. Contingency Plan, Travel policies etc. We do not need copies of these documents.
  • Venue & General Information – Detailed information on the venue including the address and other specific details you may find useful. 
  • Exhibitor Catering

    • Please note all stand hospitality must be ordered via the official caterer. All exhibitors will be charged a concessions fee for any external caterers being used and this can be discussed with the official caterer.
    • Hospitality, stand catering and retail services will be provided in line with latest government guidance.

It has come to our attention that our customers are increasingly being targeted by companies claiming to supply exhibitor/visitor/participant lists and details relating to our events and products at a cost.  Be vigilant – this data is likely fraudulent.  If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

Staff and Contractor Access Times

  • At 1800, when the exhibition closes, please be advised that you and your staff will not be able to bring trolleys and other wheeled items into the show until we have cleared the hall of visitors, which we anticipate will be 30 minutes after the last appointment. Contractors and packing helpers will be directed to wait outside the contractor entrance. Please do not issue contractors with exhibitor badges; security have been briefed to refuse access to all contractors prior to show close.

Please note the following:

  • The exhibition closes on Thursday, 4 July at 1800hrs.  Work may continue in the halls until 0400hrs.  All vehicles must be removed from site by 0400hrs.
  • All stand electrical supplies will be switched off at 1830hrs on Thursday.
  • The shell scheme will be dismantled from 1900hrs on Thursday, 4 July, therefore please ensure that all exhibits and valuables have been removed before this time. If you would  like  any items stored until Friday morning then please contact the official freight contractor with your requirements.
  • For reasons of security, and in order that no discourtesy is shown to visitors, no items may be removed from stands before 1800hrs on Thursday.
  • Exhibitors are advised to remove all portable and valuable items as soon as possible after the show closes and not to leave their stand unattended until all such items are clear.
  • Contractors and trolleys will not be permitted to enter the halls until it is clear of visitors, which we anticipate will be 30 minutes after the last appointment.
  • Exhibitors and contractors are required to display their badges at all times during the breakdown period.
  • Catering equipment, furniture, floral etc, which has been hired, are the responsibility of the exhibitor until collected.
  • The evening of closing day is a critical time for security – please do not leave goods unattended at any time.  As well as your stock, plasma screens, computers, laptops and mobile phones are at risk.
  • All waste, including brochures, carpet, stand fitting etc, MUST be removed. Stand dismantling should be completed in Hall A by 0400 Friday, 5 July, and by 1200 on Friday, 5 July in Hall B. Any excess waste left by exhibitors or their contractors will incur a charge. If you have specific requirements for waste removal please contact the venue cleaning services.

The hall must be cleared of all stand-fitting, including waste materials by 12 noon on Friday, 5 July.

Vehicle Access For Show Build-Up & Breakdown

A vehicle entry permit or pass is required for all vehicles accessing the venue. No long-term or overnight parking is allowed at the loading docks. Vehicles must leave immediately after unloading or loading operations. Each vehicle is given 45 minutes grace period after which costs will be incurred and must be paid directly to the venue.

Contractor Licensees can request a vehicle pass by emailing [email protected]. When entering the venue, the driver must display the approved entry pass in their vehicle to gain access into ILTM Expo Halls A & B. All vehicles must also have the driver’s contact details on the vehicles’ windshield, for emergency contact purposes.

*If you are working onsite during the build up and breakdown periods you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest and suitable footwear (no opened toed shoes or heels).

Exhibitor Personnel Badges

All exhibitors who are coming onsite during build up will now be required to register their details and acknowledge the site rules prior to being granted access onsite. Each individual exhibitor will need to register themselves using a web based registration system which will be made available approximately 3 weeks prior to the start of build. Details of how to register will be added to this section of the manual when available, and they will also be emailed to the main stand holder. Please ensure you share this information with all exhibitors coming onsite for build up.

Please note this is not required of exhibitors who are coming onsite for show open only. 

It is also advised you complete your registration in advance of your arrival onsite to avoid delays.

Contractor Badges 

Before arriving onsite please ensure that you and your team have received, read and understood the site rules - a copy can be downloaded here.

At ILTM Asia Pacific we now need all contractors who are coming onsite for build or breakdown to register their details and complete the site induction before they will be allowed into the exhibition halls. You will receive an e-badge once you have completed the process which you will need to use as access into the halls for build and breakdown each day.

Contractor Registration is now live and every contractor coming onsite for build or breakdown should follow the below instructions to register themselves and complete the site induction before arriving onsite. Please share this information with all contractors coming onsite for build and break down.

Before coming onsite:

1.     Scan the QR code below with your mobile phone, or alternatively use this link.

2.      Fill in the registration form and review the site rules.

3.      Press ‘Submit’ to generate your email confirmation which is valid for build and breakdown.

4.      Save the email to your phone to take onsite with you.

Onsite:

1.       When you arrive onsite show your confirmation to security who will give you a wristband and then let you into the exhibition halls. This will be done every day you enter the exhibition halls so make sure you have your confirmation easily accessible.

To avoid delays we strongly recommend you complete your registration in advance.

Please note:

  • Contractor wristbands and confirmations are NOT valid to gain entry to the exhibition halls during the show-open period.
  • Access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE; see the Site Rules for further detail.

 

Maintenance Badges

Each stand will have an allocation of ONE Show Open maintenance badge free of charge.

No maintenance on stands should be carried out during the open period without the organiser’s permission.  If you are found to be working on stands during this time, then you will be asked to leave the site and your badge will be confiscated.

Business attire must be worn during show open periods; you will be required to remain outside of the exhibition if clothing is not deemed acceptable.  Seating areas and cafes are for ILTM APAC Delegates only.  Any contractors who disregard this will be asked to leave the site and their badges will be confiscated.

Sustainability

ILTM Asia Pacific 2024 is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.

RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.

With the charter in mind, we have created an Exhibitor Sustainability Checklist which you can utilise in the planning of your participation at ILTM Asia Pacific 2024.
